Choosing online booking for your clinic

What to compare when adding online booking, and how to connect it to your website without changing how your front desk works.

Online booking can reduce phone volume and no-shows, but only if it matches how your clinic really schedules. Start with your workflow, then pick the tool.

Decide what patients should be able to do

  • Book directly into your calendar, or only send a request your staff confirms?
  • Book new patients, existing patients, or both?
  • Choose a practitioner, or be assigned one?
  • Reschedule and cancel online?

For many clinics, a request form that staff confirm is safer than live booking, particularly for new patients, complex appointment types or practices with unusual scheduling.

What to compare in a booking tool

  • Fit with your existing software. Check whether it connects to your practice management system, so you do not enter bookings twice.
  • Where data is stored and what the vendor's privacy commitments are.
  • Reminders by text or email, and what those messages contain.
  • Appointment rules: buffer times, different lengths per service, intake questions.
  • Payment and deposits if you need them.
  • Cost per practitioner, per booking, or flat.

Keep intake questions minimal

Booking forms should collect what is needed to book, not clinical history. Collect clinical information in your secure intake process, not through a public form.

Connecting it to your website

A booking tool can open in a page, appear as an embedded panel, or link from a prominent button. The best placement is a persistent "Book" button in the header and on every service page, so a patient is never more than one tap away.

Test it like a patient

Book, reschedule and cancel an appointment from a phone. Read the confirmation and reminder messages as a patient would. Fix anything confusing before launch.
